Position Summary
The Coordinator, Corporate Affairs supports the Dr. Phillips Center’s mission-driven initiatives by managing administrative, operational, and engagement tasks that enhance brand visibility, stakeholder relations, and strategic communications. This role plays a key part in maintaining department data, optimizing reporting tools, supporting civic and community partnerships, and coordinating logistics for a variety of institutional initiatives. The coordinator will work cross-functionally with internal departments and external stakeholders to ensure excellence in communication, brand consistency, and project execution. This position requires attention to detail, strong communication skills, and a passion for community engagement and the performing arts.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
- Maintain department data and optimize technology platforms to provide timely and informative reporting to senior leaders, board committees, and other internal/external stakeholders.
- Support key organizational work that advances the brand and mission of the Dr. Phillips Center. This may include project requests, BEO requests, guest lists, RSVP’s & seating arrangements, brand consistency across all communications & collateral.
- Support the Senior Manager, Corporate Affairs and Manager, Community Engagement on mission driven initiatives including Community Givebacks, Donation Programs, Surprise & Delight Program and other projects as needed.
- Support Arts & Wellness programming by participant outreach, internal coordination including reserving space, instruments, F&B needs, etc.
- Support government affairs initiatives including but not limited to invitations, email communications, letters of support, and association needs.
- Coordinate logistics for meetings, public speaking engagements, board events, and other special projects led by Corporate Affairs.
- Help compile materials for community presentations and stakeholder events (e.g., fact sheets, talking points, visual assets).
- Maintain and update stakeholder contact lists for holiday cards, holiday gifts, appreciation gifts, newsletters, special event invitations, DPC initiatives, campaigns, and community givebacks to include community leaders, elected officials, Board of Directors, Arts & Wellness partners.
- Update and maintain accurate information like memberships in department specific database systems.
- Submit check requests and process invoices for initiatives like community giveback, STROKESTRA, VA programming, etc.
- Meeting preparation; agendas, parking accommodation, welcome signage
- Collaborate with marketing, public relations and creative teams to ensure that brand messaging and positioning is relevant, engaging, timely and reflects the center’s strategic vision for inclusion, diversity, equity and accessibility. This includes updating community and chamber newsletters and calendars, canvassing, and more.
- Support Dr. Phillips Center community and external facing groups including board committees, stakeholder groups, etc.
- Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding, supporting and demonstrating the core values.
- Maintain a professional and friendly relationship with other departments, colleagues, and partners.
- Able to remain calm under pressure. Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
- Able to effectively communicate in English in both written and oral forms.
- Other duties as assigned.
Knowledge and Experience
- Bachelor’s degree and/or a minimum of 2 years of experience in a coordination, administrative, or community engagement role, preferably in a nonprofit, cultural, or public affairs setting.
- Strong organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
- Excellent written and verbal communication skills; able to craft professional correspondence and contribute to presentations and stakeholder materials.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM platforms or stakeholder databases a plus.
- Demonstrated ability to maintain accurate records, prepare reports, and support event logistics.
- High attention to detail and accuracy in tracking communications, guest lists, contact databases, and invoice processing.
- Strong interpersonal skills with the ability to work collaboratively across departments and build relationships with external stakeholders.
- Comfortable interacting with a wide range of individuals including donors, board members, elected officials, and community partners.
- Professionalism, discretion, and customer service orientation required.
Special Conditions of employment
- This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
